How we handle personal information.
This notice explains what personal information Service Design North Ltd collects through this website and related enquiries, why we collect it, and what your rights are.
Who we are
Service Design North Ltd is a limited company registered in England and Wales (company number 14269811). We provide AI, trust and customer experience consultancy, training, advisory work, speaking and related services, and we are the controller responsible for your personal information.

What we collect
We may collect personal information when you:
- send an enquiry through the website or by email;
- ask to join the newsletter list;
- submit a speaking enquiry;
- book a conversation through Calendly;
- work with us as a client, supplier or collaborator.
This may include your name, role, organisation, email address, event or project details, booking details, the messages you send us, and anything else you choose to share. We do not collect special category data (such as health, race, religion or political views) or information about criminal offences.
How we use it
We use personal information to:
- reply to enquiries and manage conversations with you;
- send newsletter updates where you have asked to receive them;
- arrange bookings, calls, speaking enquiries and project scoping;
- provide services and manage client relationships;
- keep appropriate business records;
- protect the security and reliability of the website.
Lawful basis
We rely on consent for newsletter sign-ups, legitimate interests for ordinary business enquiries and relationship management, contract (or steps before a contract) for client work and proposals, and legal obligation where we need to keep records for tax, accounting or compliance reasons. Where we rely on consent, you can withdraw it at any time.
Who handles the information
We use trusted providers to run parts of the website and our communications, including website hosting, email, our newsletter platform and Calendly bookings. They only receive the information needed to provide their service, are bound to keep it secure and confidential, and may not use it for their own purposes. We may also share information with our accountant, and with HMRC or other authorities where the law requires it. Calendly has its own privacy information that applies when you use the booking calendar.
Data security
We have appropriate measures in place to protect personal information from loss, misuse or unauthorised access, and we limit access to those who need it. If a breach occurs, we have procedures to deal with it and will notify you and the regulator where we are legally required to.
How long we keep it
We keep enquiry information for as long as we need it to respond and manage the relationship. Newsletter sign-ups are kept until you ask to be removed. Client and accounting records may be kept longer where required for business, tax or legal reasons.
Your rights
You can ask to access, correct, delete or restrict the use of your personal information, object to certain uses, withdraw consent where we rely on it, and ask us to transfer your information to another provider where that right applies. To make a request, contact yulia@service-design-north.co.uk. We will not charge a fee unless a request is clearly unfounded or excessive, and we aim to respond within one month. We may ask you to confirm your identity first.
Cookies and analytics
We do not currently use analytics or advertising cookies on this website. Embedded third-party services, such as Calendly, may set their own cookies or collect technical information when you use them. You can set your browser to refuse some or all cookies, though parts of some websites may then not work properly.
Links to other websites
Our website links to other sites and services we do not control, such as Calendly, LinkedIn and the Human-First Responsible AI Pledge. We are not responsible for their privacy practices, so we encourage you to read their own privacy notices.
Changes
We may update this policy as the website, our services or legal requirements change. The latest version will always be published on this page. Please let us know if your details change, so our records stay accurate.
