Independent hotel and events venue

South Causey Inn

A custom GPT that turns unstructured reservation data into clear, role-specific daily checklists for reception, housekeeping, kitchen and management.

Case study

South Causey Inn

South Causey Inn is an independent hotel and events venue led by owner Susan Moiser. With a constant flow of reservations, packages and special occasions, the business relies on smooth coordination across reception, housekeeping, kitchen and management.

Susan joined the programme to explore how AI could support the operational side of the business, not just marketing - particularly around daily admin, website visibility and the challenge of turning reservation data into useful action for staff.

At the outset, South Causey Inn was already experimenting with AI in limited ways, including responding to TripAdvisor reviews and drafting marketing content. Susan was open to the technology and reasonably confident using it, but there was no clear structure for applying AI to day-to-day operations. The main challenge was practical: staff were working with data and systems that did not always feel intuitive or reliable, while daily coordination depended on clear, accurate checklists tailored to each department.

Through the masterclass and three follow-up 1:1 sessions, we focused on three areas. First, we designed a custom GPT to turn reservation exports into structured, role-specific daily checklists for reception, housekeeping, kitchen and management. Second, we explored the foundations of an AI-supported knowledge base and chatbot, primarily as an internal support tool for reception rather than a replacement for staff. Third, we looked at website metadata, analytics and audience insight, using AI to explore search visibility, AI-readability and clearer visitor personas.

The most significant development was the creation of an operational custom GPT AI assistant for daily arrivals. Built around the team's existing templates, the tool was designed to read reservation information, organise it by department, pull out key notes such as celebrations or special requests, and flag unclear or missing details for follow-up. Alongside this, Susan's team began documenting package codes and abbreviations more clearly, creating a practical reference guide that improved both AI performance and internal clarity.

The impact so far is early but meaningful. South Causey Inn has moved from ad hoc use of AI to testing it against a live operational workflow. Instead of relying solely on manual interpretation of messy booking data, the team now has a structured way to generate more consistent arrival information and reduce the mental load involved in preparing for the day ahead. Just as importantly, the work has helped the business identify where stronger documentation, cleaner inputs and clearer internal processes are needed for AI to be useful.
